Facilities Project Coordinator [ID: 147]
Position Summary:

Under the supervision of the Director of Design & In-House Construction, performs coordination duties in support of department objectives in various functional areas. Coordinates departmental operations. May partner with other departments, divisions, outside agencies, and vendors as directed to address and help achieve department objectives.  Prepares work reports and may make recommendations to for operational efficiencies.  Works with college partners and real estate leasing throughout the college-wide program.  Establishes and maintains a positive working relationship with area businesses and  community, internal and external stakeholders, and other related contacts.

 

Incumbents coordinate a variety of construction related projects across the College which may include construction projects, preparing reports on facility usage and construction plans, and evaluations to ensure appropriate use and need for renovations or other changes related to external and internal requirements or standards.  Responsibilities may include meeting with customers to determine needs; reviewing plans to ensure College and construction standards are met; developing facility or construction related reports; monitors progress of projects to ensure timelines are met; compiling and analyzing information to develop reports on capital projects and progress; and provide status updates as requested.

Compensation: $49,797.55 - $62,246.94

Requirements:

Education:

Bachelor’s degree in a related field to assigned area.

Experience:

Three (3) years of administrative support, project management, or related experience to assigned area.

Physical:

  • Must be able to climb ladders and perform inspections on all construction sites.
  • Positions in this class typically require: reaching, standing, walking, grasping, feeling, talking, hearing, seeing and repetitive motions.
  • Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or negligible amount of force constantly to move objects.  If the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated for Light Work.
  • Incumbents may be subjected to fumes, dusts, extreme temperatures, intense noises and travel.

Responsibilities:

  • Reports directly to the Director of Design & In-house Construction.   Oversees select operational activities, provides project management, change management, and schedules.  Serves as liaison with internal and external stakeholders on administrative and operational functions.
  • Maintain a master list of requested projects for Design & In-House Construction (DIHC)

 

  • Assist with scheduling and relative duties to keep the team on task, improve efficiencies
  • Manage relationships, contracts and leases with internal and external stakeholders.
  • Multi-tasking and prioritizing to organize and execute the workload in line with scheduled timeframes.  Improves operations, decreases turnaround times, streamlines work processes, and works cooperatively and jointly to provide quality customer service.
  • Evaluates specific policies and procedures as directed and develops or makes recommendations for improvements.
  • Ensure smooth and efficient flow of information to team members relative to projects and across SPC staff when necessary to facilitate and expedite successful DIHC projects.
  • Make sure all project requestors are addressed with feedback as schedules are worked out
  • Exercises independent judgment, confidentiality, and discretion, when necessary.
  • Prepares budget worksheets and projections for related expenditures; monitors expenses within budget; submits periodic budget updates, and assists with fiscal responsibility.
  • Liaises with campuses, centers and sites on Facility Rental Program and assists with administration of program. 
  • Remains current on issues of special interest to the College.
